1. Data controller

The data controller is SIA “Vizo Media”, reg. no. 40203420359, registered address Rīgas iela 181, Jēkabpils, LV-5202, Latvia (hereinafter Fotosiena.lv, we or us).

2. What data we process

We only process the data needed to provide our services:

• Enquiry form: name, phone number, email, event date, location and type, selected services, the calculator estimate and your message.
• WhatsApp, email or phone: the messages you send us and your contact details.
• Contract and invoice: the client’s name or company name, registration number, address and payment details.
• At the event: photos from the photo booth, mirror photo booth and AI photo booth, videos from the 360 video booth, voice recordings from the audio guest book, caricatures and the event photographer’s photos.
• Using the website: technical data needed for the site to work securely (IP address, browser type) and, only with your consent, visitor statistics.

3. Why and on what legal basis

• Preparing a quote and performing the contract (GDPR Article 6(1)(b)): replying to your enquiry, reserving the date, preparing the design and providing the service.
• Complying with legal obligations (Article 6(1)(c)): keeping invoices and accounting records.
• Legitimate interests (Article 6(1)(f)): running and securing the website, protection against attacks, spam and bots.
• Consent (Article 6(1)(a)): visitor statistics with Google and Microsoft tools (only if you press “Accept” in the cookie notice) and publishing event photos on our website or social media. You can withdraw your consent at any time.

4. Event photos, videos and recordings

We take photos, videos and voice recordings at the event on the client’s behalf. The client is responsible for making sure guests know that a photo booth, mirror photo booth, 360 video booth or photographer is working at the event.

Guests receive their photo or video on their phone via a QR link. The client receives all materials in a private online gallery within 5 working days. The gallery is available for 1 month, after which we delete it.

We do not publish photos or use them for advertising without the client’s permission. We never show photos of children publicly. In the AI photo booth and the caricature robot, photos are used only to create your image and are never used to train artificial intelligence.

If you were a guest and would like your photo removed from the gallery, please write to info@fotosiena.lv and include the date of the event.

5. Who else sees your data

We do not sell your data. It is processed only by trusted service providers with whom we have data processing agreements:

• Hetzner Online GmbH (Germany): website hosting. Our server is in a Hetzner data centre in the European Union (Falkenstein, Germany), where enquiry form data is also processed.
• Cloudflare, Inc.: the network between your browser and our server — HTTPS encryption and protection against attacks and bots (Turnstile). Cloudflare processes technical request data such as your IP address.
• Resend, Inc.: sending enquiry form emails to info@fotosiena.lv. Emails are sent through Resend’s European region (Ireland).
• Google Ireland Limited (Google Analytics 4): visitor statistics, only with your consent.
• Microsoft Ireland Operations Limited (Microsoft Advertising / Bing and Microsoft Clarity): visitor statistics and site usage analysis, only with your consent.
• Online gallery provider: storing photos and videos until the gallery is deleted.
• WhatsApp (Meta): if you choose to contact us via WhatsApp.
• Accounting service provider: processing invoices.

Our server and form data are in the EU. Cloudflare, Resend, Google and Microsoft have parent companies in the USA, so some data may be transferred to the USA. Any such transfer is based on the EU–US Data Privacy Framework (a European Commission adequacy decision) or the European Commission’s standard contractual clauses.

6. How long we keep data

• Enquiries that did not become bookings: 12 months.
• Event photos, videos and recordings: 1 month after the gallery is sent.
• Contracts, invoices and payment data: for as long as accounting legislation requires (up to 5 years).
• Photos approved for publication: until consent is withdrawn.

7. Cookies

We use essential cookies that store your choice from the cookie notice. If you press “Accept”, we also load Google Analytics and Microsoft (Bing) statistics tools. They use cookies to understand which pages are visited and how the site is used. We do not use this data to personalise ads. If you choose “Essential only”, these tools are not loaded.

If Cloudflare Turnstile verification is enabled on the enquiry form, it may use technically necessary data to tell a human from a bot.

You can change your cookie choice at any time by clicking “Cookie settings” at the bottom of the page.

8. Your rights

You have the right to:

• receive information about what data of yours we process, and a copy of it;
• request correction of inaccurate data;
• request erasure of your data or restriction of processing;
• object to processing based on legitimate interests;
• withdraw your consent to the publication of photos;
• receive your data in a portable format.

Please write to info@fotosiena.lv. We will reply within one month. If you believe your data has been processed incorrectly, you can lodge a complaint with the Data State Inspectorate (Datu valsts inspekcija, www.dvi.gov.lv).

9. Data security

The website runs on our server in a Hetzner data centre in Germany (EU) over an encrypted HTTPS connection, galleries are private and accessible only via a link, and access to data is limited to those who need it for their work.

10. Changes

We may update this policy if our services or the law change. The current version is always on this page, and its date is shown at the top.
